Position Title: Administrative Assistant

General Description:

The Administrative Assistant position will provide a wide range of administrative and office support to the IAC Compliance Department and JRC-DMS to facilitate the efficient operation of these two divisions.

Key Job Responsibilities:

  1. General clerical duties including photocopying, fax and mailing
  2. Answer and screen telephone calls
  3. Maintain electronic and hard copy filing system
  4. Retrieve documents from filing system
  5. Handle requests for information and data
  6. Resolve administrative problems and inquiries
  7. Prepare written responses to routine inquiries
  8. Prepare and modify documents including correspondence, reports, drafts, memos and emails
  9. Schedule and coordinate meetings
  10. Prepare agendas for meetings and prepare schedules
  11. Compile, transcribe and distribute minutes of meetings

Required Skills:

  • Two years detailed administrative experience in a professional office environment
  • Ability to prioritize multiple tasks and manage time efficiently
  • Exceptional attention to detail and accuracy
  • Effective written and oral communication skills
  • Excellent time management and ability to prioritize
  • Ability to diffuse confrontational clients in a professional manner
  • Ability to follow direction and complete tasks with minimum direct supervision
  • Must have previous data entry and database management experience

Desired Skills:

  • Knowledge of operation of standard office equipment
  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping
  • Ability to plan and organize as needed to successfully manage day-to-day job responsibilities
  • Exercise adaptability and teamwork

Position Title: Random Audit Coordinator
Opening Date: October 31, 2011
Closing Date: November 9, 2011

General Description:

The Random Audit Coordinator will serve at the liaison between the Compliance Department and all IAC divisions to ensure the organization is following the established protocol for site visits and processing of the random external audits.

Key Job Responsibilities:

  1. Process, track and organize all random audits according to the current IAC policy
  2. Compile audit material, ship and/or deliver to the appropriate division audit reviewer per policy
  3. Administer written correspondence according to policy
  4. Monitor all random audit email boxes. Investigate all returned or undeliverable emails to assure appropriate laboratory contact information
  5. Office organization to include archiving audit materials with the appropriate division
  6. Review audit materials for completeness; compile lists of any missing material and request additional information from applicant laboratories
  7. Respond to inquiries regarding the non-technical aspects of the IAC random audit process through telephone communications, fax correspondence and email
  8. Provide weekly reports to division directors
  9. Develop and provide audit reports for CCO and division Directors biannually and as requested
  10. Work with IT department to ensure proper functioning of automated systems and develop enhancements to processes
  11. Maintain a working knowledge of pertinent aspects of the random audit process, IAC database, applicant laboratory notification process and generating of written correspondence

Required Skills:
